Don’t delete… Cancel subscription – If your inbox looks anything like mine, you probably have an ever-growing pile of email newsletters and marketing messages from companies you’ve done business with in the past; you may not even remember opting in to receive half of them. Technically, the emails aren’t spam, but that doesn’t make them any less annoying or slower. While it’s easy to hit delete, for a more permanent solution, scroll to the bottom and click the “unsubscribe” link. It literally takes just seconds and will keep them out of your inbox forever.

to take action – One of the most ineffective things you can do when it comes to email is to read the same message over and over again. When you receive a message, take action now: delete the message, delegate it to someone else, archive it, or move it to a folder where you can deal with it later. Ideally, you’d like your inbox to be emptied at least every few days.

Designate email time – We often get caught up in the fallacy that you have to respond to every email you receive. To avoid becoming a slave to your email and keep your time productive and efficient, designate certain times of the day specifically for responding to emails (for example, first thing in the morning or right before you go out for lunch). If it’s going to take more than a few minutes to respond to an email, schedule a time during the day to come back when you have more time.

backup always – Be sure to back up your email regularly, especially emails with important information and attachments. Without proper backup, you could lose crucial business data if your computer is stolen, damaged, or destroyed.
